Education journeys

Journeys that inspire future minds.

We plan school and university trips end to end: programmes built around learning outcomes, budgets your leadership approves, and traveller information collected only through authorised guardian and institution roles.

What institutions get

  • Curriculum-first programmes for every age, from grade 4 field days to final-year industry tours
  • Role-based portals for approvers, trip leads, staff, guardians and finance
  • Consent-led rosters, so minors’ data never travels by email or spreadsheet

School journeys

Field trips that answer the syllabus.

Heritage, science, ecology and civics, planned around what the class is studying. A Vijayanagara history unit becomes two days among Hampi’s temples and boulders; a physics chapter becomes a planetarium session and an observatory night.

  • Days paced for the age group, with walking distances, rest breaks and early dinners built in.
  • Pre-trip worksheets and a day-wise brief that teachers can share with parents.
  • Meal plans that respect vegetarian, Jain and allergy needs, confirmed with each venue.
  • Guides who teach, not narrate, briefed on the learning outcomes for each stop.

University journeys

Study tours with a professional edge.

Industry visits, conferences, design competitions, field research and campus exchanges, at home or abroad. Faculty set the agenda; we handle the logistics around it.

  • Visit requests coordinated with host companies and institutions, which decide access and safety rules on site.
  • Per-student document checklists and invitation-letter coordination for international programmes.
  • Tiered options when students pay their own way, with one approved base programme.
  • Adult students manage their own details and consent; faculty see completion status.

Institutional control

Every role sees exactly what it needs.

The teacher portal is built around roles, not inboxes. Your institution decides who approves, who manages the roster and who can see care notes, and every approval and consent is recorded.

Portal roles and what each can see and do
Role Who Can see Can do
Approver Principal, head of school or dean Programme, total and per-traveller cost, approval history Approves or returns the quote; sets trip policy such as ratios, rooming and curfew
Trip lead Lead teacher or faculty coordinator Programme, roster and consent status, the care notes staff need Edits the programme, invites staff and guardians, follows up missing consents
Accompanying staff Teachers and support staff on the trip Day plan, their assigned group, emergency contacts Runs headcounts, logs incidents, reaches the coordinator
Guardian Parent or legal guardian of a student under 18 Their own child’s details, the itinerary, shared updates Gives or withdraws consent, adds travel details, updates emergency contacts
Adult student University students aged 18 and over Their own details, itinerary and document checklist Completes their own details and consent
Finance Accounts or bursar’s office Quote, invoices and payment schedule Pays against invoices, downloads receipts

Role names and permissions are configured with your institution before invitations go out.

The institutional booking path

Six steps, approved at every turn.

Choose a step to see who acts, what happens and what your institution receives at the end of it.

Step 1 of 6

Request proposal

Share the learning goals, grade or year, group size, preferred month and any destinations in mind. A named education coordinator replies with questions before proposing anything.

Who acts
  • Trip lead

You receive: An agreed brief: learning outcomes, constraints and a budget range.

Step 2 of 6

Review programme

A day-by-day programme with the learning focus of each day, travel times, walking load, meals and the rooming approach. Staff comment line by line in the teacher portal.

Who acts
  • Trip lead
  • Academic head

You receive: A versioned programme ready to share with leadership.

Step 3 of 6

Approve budget

A per-traveller and total quote with inclusions, exclusions and a validity date. Leadership approves inside the portal, and nothing is booked before that approval.

Who acts
  • Principal or dean
  • Finance

You receive: An approved quote with a record of who approved it and when.

Step 4 of 6

Collect authorised traveller information

Guardians receive a private link to give consent and add what the trip needs: ID details, emergency contacts, dietary and medical notes for staff. Students aged 18 and over complete their own. Staff see a roster with gaps flagged, not raw documents.

Who acts
  • Guardians
  • Adult students
  • Trip lead

You receive: A consented roster, with every missing item visible.

Step 5 of 6

Confirm suppliers

Transport, stays, entry tickets and guides are booked, and each one shows its own confirmation status. A pending booking is never shown as confirmed.

Who acts
  • InfiniaTrips coordinator

You receive: Supplier confirmations, a rooming list and coach and driver details.

Step 6 of 6

Share coordinator dashboard

Staff get a live dashboard of timings, headcount checklists, contacts and the escalation path. Guardians see the itinerary and the updates your institution chooses to share.

Who acts
  • Trip lead
  • Accompanying staff
  • Guardians (view)

You receive: One source of truth for everyone, before and during the trip.

Supervision and safety

Your policy sets the rules. We plan to them.

We do not impose a standard ratio or a one-size safety plan. Supervision is set as per your institution’s policy, and every booking is sized to it.

  • Ratios

Staff-to-student ratios as per your institution’s policy, and any stricter rule a venue, board or local authority sets. We size coaches, rooms and guide groups to match.

  • Rooming

Rooming and floor allocation as per your policy, with staff rooms placed beside student rooms wherever the hotel layout allows.

  • Headcounts

Checkpoints built into the staff dashboard at every boarding, entry and exit, so a missing traveller is noticed in minutes, not hours.

  • Road transfers

Coach operators share driver and vehicle documents before travel. Long road legs are planned in daylight wherever the route allows.

  • Care notes

Allergies, medication and dietary needs come from guardians and are visible only to the staff responsible for that student.

  • Escalation

A named path from trip lead to our coordinator to local support, with the nearest appropriate hospital listed for every overnight stop.

Information about minors is collected only through authorised guardian and institution roles, and is never requested through public forms on this website.

Request a proposal

Tell us about the group.

Five minutes of detail gets you a first programme and an indicative budget to review with your leadership.

  1. A coordinator replies

A named education coordinator confirms the brief and asks what the form cannot.

  2. You receive a draft programme

Day by day, with learning focus, travel times and an indicative per-traveller cost.

  3. Portal access follows approval

Roles are set up with your institution before any guardian or student is invited.

Travelling as a club, alumni group or mixed-age party rather than a class? See group travel. For students with access needs, our accessible travel team checks every venue.

Please do not include student names or personal details. Those are collected later, only through authorised guardian and institution roles.

Education FAQ

For principals, deans and trip leads.

How do you handle personal information about students under 18?

Only through authorised roles. Guardians give consent and enter their own child’s details through a private link, and the institution decides which staff can see which fields. Teachers work from a roster rather than collecting passports or medical forms by email, and personal data is used only for that trip and deleted on the schedule agreed with your institution.

Who decides the supervision ratio on a school trip?

Your institution. We plan rooms, coaches, guide groups and activity sessions to the staff-to-student ratio your policy sets, and we flag any venue, activity provider or local rule that requires more supervision than that.

Can the principal approve the budget before anything is booked?

Yes, and that is the default. The quote shows the per-traveller and total cost, what is included and excluded, and how long it is valid. Nothing is booked until an approver signs it off in the portal. Amounts stay indicative until suppliers confirm availability and price.

Do you arrange international study tours for universities?

Yes: industry visits, conferences, competitions, field research and campus exchanges. We prepare document checklists for each traveller, coordinate with the host institution on invitation letters, and align bookings with visa timelines. Visa decisions rest with the destination’s authorities; see our visa assistance page for how we prepare applications.

How far ahead should a school start planning?

As a rule of thumb, allow two to three months for a domestic trip and four to six months for an international one. Consent collection, passports, visas and peak-season inventory take the longest, and an early approved brief keeps the per-student cost steadier.

What happens if a student falls ill during the trip?

Your staff follow the institution’s protocol, and our coordinator supports them: arranging transport to the nearest appropriate medical facility, rearranging the group’s plans if needed and informing guardians through the channel your institution has approved. We recommend suitable travel insurance for every traveller.

For institutions

One proposal. Every approval in view.

Share the brief once. Leadership, staff and guardians each see what their role needs, and nothing is booked until your approver says yes.
