Corporate travel
Business travel, in policy and in order.
Corporate travel management for companies and teams in India: booking that follows your travel policy, approvals in a tap, duty of care for every traveller, and GST-compliant invoices that finance can reconcile.
Policy & approvals
From request to invoice, in five clear steps.
Follow one sample trip through the flow. Travellers book inside your rules, approvers only see what needs a decision, and finance receives invoices that match.
Step 1 · Traveller
Traveller requests
The traveller chooses flights, a hotel and cabs inside the company booking flow, adding the trip purpose and cost centre. Options outside policy are visible but clearly marked.
BOM → BLR · 12–13 Nov · 1 traveller
Traveller requests
- Flight
- Mumbai → Bengaluru · 07:00 · Economy
- Hotel
- 1 night near Outer Ring Road
- Ground
- Airport cabs, both ends
- Purpose
- Client workshop · Sales West
Sample trip · illustrative only
Step 2 · Automatic
Policy check
Every element is checked against your rules before anyone is asked to approve. In-policy items pass silently; anything outside policy needs a reason from the traveller.
BOM → BLR · 12–13 Nov · 1 traveller
Policy check
- Cabin
- Economy for a flight under 3 hours
- Hotel
- Within the metro-city nightly cap
- Advance
- Booked 5 days ahead; policy asks for 7
- Reason
- “Client moved the workshop forward”
Sample trip · illustrative only
Step 3 · Approver
Manager approval
The approver sees the trip, its total and any exception with the reason given, then approves or declines from email or the dashboard. Fully in-policy trips can be set to approve automatically.
BOM → BLR · 12–13 Nov · 1 traveller
Manager approval
- Approver
- Head of Sales West
- Decision
- Approved with a note
- Fallback
- Delegate approver if no reply in 4 hours
Sample trip · illustrative only
Step 4 · InfiniaTrips
Booking
Fares and rates are re-validated, then booked. Each element carries its own status, so a hotel still awaiting the property’s confirmation is never shown as confirmed.
BOM → BLR · 12–13 Nov · 1 traveller
Booking
- Flight
- E-ticket issued
- Hotel
- Confirmed by the property
- Cabs
- Vouchers sent to the traveller
Sample trip · illustrative only
Step 5 · Finance
GST-compliant invoice
Airlines and hotels issue GST invoices against your company’s GSTIN when it is supplied at booking, and our service-fee invoice carries it too. Finance receives every invoice with the cost centre attached.
BOM → BLR · 12–13 Nov · 1 traveller
GST-compliant invoice
- Invoices
- Airline, hotel and service fee
- GSTIN
- Company GSTIN on each invoice
- Coding
- Cost centre and trip purpose attached
Sample trip · illustrative only
Policy rules
Rules written once, applied every time.
A travel policy only works if people can follow it while booking. Here is how a typical one reads inside InfiniaTrips. Every value is yours to set.

Sample| City tier | For example | Cap per night |

Sample policy for illustration. Caps are before taxes; your rules, grades and limits are set with you.
Duty of care
Every traveller accounted for, without being tracked.
Looking after people on the road is part of the job, and it should not depend on someone checking a spreadsheet at midnight.
- Who is where. A live view of every traveller’s flights, hotels and cabs, built from bookings, never from phone location.
- Disruption alerts. Delays, cancellations and advisories, with the affected travellers listed for your travel manager.
- Ready before departure. Visa and entry checks for international trips through our travel documents team.
- People who pick up. Human support with clear escalation when a trip goes wrong, plus business travel insurance where you need it.
For finance and travel managers
Fewer receipts. Cleaner books.
-
One monthly statement
Every booking across flights, hotels, rail and cabs on a single statement, with central billing or a company card.
-
Cost centres and codes
Department, project and client codes captured at booking, so reports match how your business is organised.
-
Invoices that reconcile
GST invoices collected from airlines and hotels and delivered in one place, ready to match with your records.
-
Unused tickets tracked
Credits from cancelled flights are tracked by traveller and expiry date, so they are used rather than lost.
-
Policy compliance
Exceptions, reasons and approval times reported by team, so you can tune the policy rather than police it.
-
Offsites and events
Team offsites and conferences booked with group fares, shared roles and rooming lists.

Business FAQ
Corporate travel, the practical answers.
Will we get GST invoices in our company’s name for flights and hotels?
Yes, when your company GSTIN and registered details are on the booking. Airlines and hotels issue tax invoices against that GSTIN, and our service-fee invoice carries it too. Whether you can claim input tax credit depends on the service and your circumstances, so confirm eligibility with your tax adviser.
How do approvals work when a trip is outside policy?
The traveller can still request it, but must give a reason. The approver sees the exception, the reason and the price difference against the in-policy option, then approves or declines. Delegates can be set for when an approver is away, and in-policy trips can skip approval entirely.
Can different teams or grades have different travel policies?
Yes. Cabin class, hotel caps, advance-booking rules and approvers can vary by grade, department, cost centre or destination. A sales team that flies weekly and a leadership team that travels long-haul can each have rules that fit.
What does duty of care look like in practice?
Your travel manager can see who is travelling where, built from bookings rather than phone tracking, and receives alerts when flights are disrupted or a destination advisory changes. Affected travellers can be contacted quickly, and late-arrival or high-risk destination rules can be built into policy.
Is there a minimum travel volume for a corporate account?
There is no published minimum. Teams of a handful of travellers use the same policy, approval and invoicing tools as larger companies. Tell us about your travel pattern and we will suggest the setup that suits it.
Can employees book directly, or only through a travel desk?
Both work. Employees can book for themselves inside policy, or ask a travel coordinator to book for them. Either way the same rules, approvals and invoices apply, and each booking is visible in the company dashboard.
For companies
Policy that people actually follow.
Set the rules once. Travellers book inside them, approvers see only what needs a decision, and finance gets invoices that reconcile.
